Meetings

This page will contain the minutes of the BIA's last executive committee meeting, along with the agenda of the upcoming meeting a few days prior to said meeting. Meetings are held every first Thursday of the month.

The minutes of previous meetings will be available in the Archives section of the site.

The last BIA executive's monthly meeting was held on Thursday March 3rd, 2005. Here were the subjects discussed:

1   Opening - Agenda.

- Carried.


2   New Members.

- Mike Wilson, President, welcomes Sylvie Leroux, as a new member, and Daniel Sigouin, as a resource person on the BIA executive.


3   Reports of the meeting held on February 3rd.

4   Correspondence.

- OBIAA Conference - April 3-5, 2005:  Gérald and Mike are interested to attend the conference this year.  Prop. by: E. Mignault, Supp. by: S. Otis.  THAT registrations be made in order for Gérald and Mike to participate at the 2005 OBIAA Conference in Toronto from April 3 to 5.  CARRIED

- Classic Displays; Will be attending the OBIAA Conference;  info.

- Mark Crocker, ventriloquist: info.


5   Guests.

- Isabelle Lapierre, Moose Festival :  Isabelle made a presentation on the activities that will be held during the Moose Festival and asked members if it would be possible to install mooses made of wood in the downtown area during the event.  A letter could also be sent to all merchants to encourage them to decorate their windows or their front display between July 14-17 for the event.  Estelle Mignault will represent the BIA on the Moose Festival Committee.

- Jessica Larose, Forma Jeunes (8h15): Jessica made a presentation on the different services that Forma Jeunes can offer to the community.  She asked the opinion of BIA members for the publication of a ticket that could offer discount coupons from different stores and a draw, in order to raise funds for Forma Jeunes. Details for the tickets are still not defined.  Some members say that this tactic was used in the past,  but it was not as popular that they thought it would be.  Jessica also gave members a survey to be filled on the services that Forma Jeunes could offer.


6   Garbage Cans.

- Association des Pionniers et Pionnières de Hearst is presently building garbage cans made out of wood for the Recreation Department of the Town of Hearst and Guy Losier is asking if BIA members would be interested to have some made for the downtown area at the cost of $125 each.  After looking at the picture of these garbage cans and after discussion, members decided not to order any, saying that the style did not go very well with already existing garbage cans downtown. 


7   Kiosk at municipal parking.

- The Secretary asked several contractors to provide a quote for repairs to be done to the doors of the kiosk at the municipal parking.  Until now, only one submission was received from Fern Girard General Construction.  Members decided to wait a little longer to see if more quotes will be received.

2005 Budget.

- A final copy of the 2005 Budget as submitted to the Town of Hearst was presented to members. Prop. by: G. Gaudreau, 
Supp. by: S. Otis.  THAT the 2005 Budget be approved as presented.  CARRIED

Suggestions to improve organization of activities. 

- Estelle Mignault presented a list of tasks/activities which are held annually within the downtown area.   She suggested to have a person responsible for each activity in order to reduce the President's workload.

- As it was decided, here is the list of persons responsible for each activity: Colette Fortin for the parking and kiosk; Marc Dufresne, Mike Wilson and Gérald Gaudreau for the communications with the Town of Hearst; Sylvie Otis and Sylvie Leroux for the carnival; Sylvie Leroux for the festival de l'humour; Estelle Mignault for the moose festival; Sylvie Otis for the summer festival and the 25th Anniversary;Colette Fortin for the Santa Claus Express; Gérald Gaudreau for the christmas decorations and holiday season; Gérald Gaudreau and Estelle Mignault for the banners and flowers; Thérèse Lachance and Sylvie Leroux for the Web site and merchants list; Gérald Gaudreau, Mike Wilson and Thérèse Lachance for the street lights;  Thérèse Lachance for the cleanliness in the downtown area.

- Each one will be responsible to reunite necessary manpower and supplies for organizing the activity.

Summer Festival and 25th Anniversary

- A special meeting will soon be held to discuss ideas and begin organizing the 2005 Summer Festival and the 25th Anniversary of the BIA.

Other subjects.

- Banners - Book fair:The book fair requested, again this year, the permission to install banners in the downtown area, which was granted.

- Invitation to information session - Strategy to revitalize Highway 11, March 8th, 2005 at 7:00 p.m. Many members are interested to participate. A copy of the invitation was also sent to all members of the BIA by fax.
