Meetings

This page will contain the minutes of the BIA's last executive committee meeting, along with the agenda of the upcoming meeting a few days prior to said meeting. Meetings are held every first Thursday of the month.

The minutes of previous meetings will be available in the Archives section of the site.

The last BIA executive's monthly meeting was held on Thursday April 6th, 2006. Here were the subjects discussed:

1   Opening - Agenda.

- The meeting was declared open at 8:00 a.m. - Agenda.  Prop. by: S. Otis, Supp. by: G. Gaudreau;  CARRIED.


2   Presentation - Donald Gratton.

- D. Gratton did a presentation on what the Hearst Ecomuseum was doing today and what they were planning doing in the future, such as a pedestrian tour of the historic sites in Hearst.  He informed members that a promotion campaign will be organised to promote this tour and invited BIA members to encourage tourists to visit the museum.  Posters will be posted in different stores in town.  He also invited members to suggest ideas of possible exhibitions or activities that the Ecomuseum could organize in the future.


3   Report of the meeting held on March 2nd, 2006.

4   List of cheques issued between March 1st and March 31st, 2006 and current financial statements.

- The list of cheques issued between March 1st and March 31st, 2006 for a total amount of  $1,689.12, as well as current financial statements were presented for approval.  Prop. by: G. Gaudreau, Supp. by: S. Otis. CARRIED.


5   Annual Meeting 2006.

- The Annual Meeting will be held on May 4th, 2006.  Marcel Dillon, from the Municipality, will be invited to discuss about the cleanliness in the downtown area and Shana Verrier, from the Chamber of Commerce, to discuss improvements to Front St. and downtown.  Members from the Municipal Council will also be invited.  Thérèse will print and distribute tickets and obtain meal quotes from the Companion.

Donation to Hearst Carnival 2006.

-  Sylvie O. informed members that Radio CINN FM has already given a cheque to the winner of the contest sponsored by the BIA and that they thought that the BIA would contribute real money for the Carnival.  They are now asking that the BIA issue a cheque for their donation instead of BIA money.  After discussion, members agreed to issue a cheque to Radio CINN-FM in the amount of $500 for their donation to the Hearst Carnival contests, but that a letter be sent with the cheque explaining that the BIA never contributes real money in any of its donations and that all future donations will be done with BIA money without exception.

Budget 2006.

- Thérèse presented the 2006 Budget as revised and approved by the Municipality.  Changes that were done to the budget are: Repairs to street lights has been replaced by Purchase of flower boxes for the same amount ($1,000); Installations of Christmas decorations has been removed completely and the Municipality now covers the entire amount; Flower maintenance has been increased by $100 and Administration by $180; and the amount recovered from the deficit has been adjusted to $7,019, the total amount of the deficit.

Correspondence.

- Information on forestry work - Invitation to assist to an information session on forestry work as proposed by the Hearst Forest Management Plan - Info.

Other subjects.

- Quote for flowers - A. Vandette: A. Vandette submitted the price of $1,600 for purchase and maintenance of flower baskets for street lamps.  Flower baskets should be installed around June 15th.  Prop. by: S. Otis, Supp. by: S. Leroux.  CARRIED.
- Web Site - info on cost for additional space: Thérèse presented a report detailing the cost of additional space for the BIA web site in order to offer space to BIA members.  M. Wilson suggested to improve our site with new photos and items before offering any space to members.  Thus, the BIA web site will be improved before members are offered space and that item will be reported to a future meeting.
- Sidewalk Sale - Thérèse informed members that the Curling Club is interested to hold a bingo downtown during the sidewalk sale.  Members have no objection and arrangements can be made at that time.
- Flower boxes: The amount of $1,000 has been put into the budget for the purchase of flower boxes for the downtown area.  Gérald will take care of ordering them.  Maintenance and watering could be done by the same person taking care of trees.  Quotes will be requested soon for this maintenance work.
