Meetings

This page will contain the minutes of the BIA's last executive committee meeting, along with the agenda of the upcoming meeting a few days prior to said meeting. Meetings are held every first Thursday of the month.

The minutes of previous meetings will be available in the Archives section of the site.

The last BIA executive's monthly meeting was held on Thursday May 5th, 2005. Here were the subjects discussed:

1   Opening - Agenda.

- The meeting was declared open at 7:40 a.m. and the Agenda approved.  CARRIED.


2   Reports of the meeting held on April 8th.

- Prop. by: E. Mignault, Supp. by: S. Otis; CARRIED.


3   Summer Student.

- Four applications were received for the position of Coordinator of the Summer Festival.  Mike Wilson, Sylvie Otis, Sylvie Leroux and Thérèse Lachance will conduct interviews in the coming days.  A subsidy was also approved from "Le Centre partenaires pour l'emploi" of Hearst for a minimum amount of $600 (10 weeks). 


4   Quotes for tree maintenance.

- A quote was received from Suzanne Damboise, in the amount of $1,000.00 for tree maintenance downtown.  After discussion between some of the members, before the meeting, and due to the fact that it was urgent to begin tree maintenance soon, it was decided to accept Mrs. Damboise's quote for the 2005 summer season.  Gérald Gaudreau informed members that Mrs. Damboise did an excellent job.


5   Quote for various work.

- Two quotes were received for various work to be done downtown.  The first quote is from "L'Atelier des Pionniers et Pionnières" in the amount of $2,000 and the second quote is from "Forma Jeunes" in the amount of $2,280. 

- Prop. by: Gérald Gaudreau, Supp. by: Estelle Mignault.  THAT the quote from "L'Atelier des Pionniers et Pionnières", in the amount of $2,000, for various work to be done downtown for 2005 be accepted.  CARRIED.


6   Repairs Downtown.

- Many tree guards need repairs and new benches and trees have to be installed.  This work could be done in collaboration with "L'Atelier des Pionniers et Pionnières".  There are also ashtrays to be installed at various places downtown and the kiosk needs repainting.  Mrs. Lisa Lamontagne asked that ashtrays and trees be installed in front of her building on George St., as the existing trees will be removed this summer.  Mike will discuss this further with her in order to find the best solution.  Fern Girard Construction have already replaced locks and hinges on the kiosk doors and everything seems to be working good.  Mike asks that Thérèse get some prices for buying new tree guards and benches.


7   Annual Meeting.

- After discussion, it was decided to cancel the annual meeting this year.  Instead, a meeting with the Economic Development Corporation could be organized, later this year, where improvements to Front St. and the downtown area could be discussed.  Financial Reports will therefore be approved during a regular Board meeting and Mr. Louis Corbeil will be invited to attend.

Correspondence.

- Collège Boréal: Patrick Leroux Conference: Mr. André Rhéaume from Collège Boréal of Hearst invited members of the BIA to attend a conference given by Patrick Leroux which will be held on May 6, 2005 from 9:00 a.m. to Noon.  No member has shown interest in attending.
- Corporation of the Town of Hearst - Approval of 2005 Budget: Letter from the Corporation of the Town of Hearst confirming that the 2005 BIA Budget was approved: Info.
- Letter from Manon Pelletier - CIBC: Manon Pelletier informed members that she accepted a new position in Timmins and that she will move out of town soon: Info.
- Destination Nord - 2005 Tourist Guide: Letter from Destination Nord informing us that the new 2005 Tourist Guide was now available.  We can also ask for more copies to distribute.  Mike Wilson asked Thérèse to check if the additional copies are free, and if so, to order at least another box. 
- Root Welding - Email: Info.

Hearst Downtown Promotional Brochure.

- After suggestion from Daniel Sigouin, Thérèse has prepared a draft for a promotional brochure for the Hearst Downtown, which she showed members.  All members think it was a good idea and some made a few changes and suggestions.  The brochure will then be revised by Thérèse and brought back to the next meeting.  Mike Wilson also suggested to call André Rhéaume as he once asked if we had promotional material he could bring with him when he travels out of town. Thérèse will call him.  A promotional package could also be developed for tourists.

Organization chart.

- The BIA organization chart, which also included the duties and activities for which members were responsible for, was presented to members.  Mike suggested to do the chart like the example found in the BIA Operating Reference Binder that he bought at the 2005 OBIAA Conference.  Thérèse will work on it and present it again at the next meeting.

Other subjects.

- Hearst Summer Festival was added to the EVENTINFO.CA web site: Info.
- Moose Festival: Estelle talked about the Moose Festival and informed members of the latest developments.
- Tourism Committee: Gérald Gaudreau informed members that he will sit on the Tourism Committee to represent the BIA.
