Meetings

This page will contain the minutes of the BIA's last executive committee meeting, along with the agenda of the upcoming meeting a few days prior to said meeting. Meetings are held every first Thursday of the month.

The minutes of previous meetings will be available in the Archives section of the site.

The last BIA executive's monthly meeting was held on Thursday June 2nd, 2005. Here were the subjects discussed:

1   Opening - Agenda.

- The meeting was declared open at 7:41 a.m. and the Agenda approved.  CARRIED.


2   Reports of the meeting held on May 5th, 2005.

3   Trees and shrubs maintenance.

- Suggestion from Suzanne Damboise:  Suzanne suggested that red mulch be applied at the bottom of trees and shrubs downtown and at the Municipal Parking.  Members agreed but would prefer that the mulch be of natural wood color, to match the benches. 
- Tree guards and benches:  It was decided to order two new benches to replace the ones damaged and one tree guard to replace the one on the East side of Northern store that was damaged this winter.


4   Summer Festival and 25th.

- Jean-François Lambert, Summer Festival Coordinator, inform members about things that have been made so far.  Some activities are already confirmed and some others are still to confirm.  It was decided to ask Le Nord newspaper to do a brochure on the Summer Festival like it was done in the past years.  Jean-François also informed members that he had accepted another job offer and gave his resignation from the BIA for June 17.  It was suggested to ask Donald Gratton if he had students names to recommend.  Sylvie Otis said that she might know someone that would be interested in the position and will ask her to come see Thérèse for the details if she was willing to take it.


5   Correspondence.

- JMC Communications (promotion Cinéma Cartier): Cinéma Cartier is now offering large screen promotion space for businesses via a PowerPoint presentation.  JMC Communications has been hired by Cinéma Cartier to sell these spaces and approached the BIA on this.  Jean-François prepared an example of promotion for the Festival and showed it to members.  Members find that it is a good idea and it is: Proposed by: E. Mignault and Seconded by: G. Gaudreau, that a promotion package of four weeks be taken at Cinéma Cartier, beginning in June up to the Summer Festival, at the cost of $40 per week.  CARRIED.

- Ministry of Transportation: A letter was received from the Ministry of Transportation informing us that the cost for the permit to put signs along Highway 11 will increase from $110 to $130 for each sign as of April 2005. Info.

- Promotion Le Nord - Moose Festival: Le Nord newspaper is asking if the BIA will be taking an ad in the special brochure made for the Moose Festival this year due to be out the week of July 6, 2005.  Last year, the BIA had taken a black and white ad of 1/4 page.  The cost for such an ad is $75 + GST.  All members agreed to place the same ad this year.


6   Hearst Downtown Promotional Brochure.

- A second draft of the promotional brochure was presented by Thérèse.  Members made more corrections.  The brochure will be finalized by Thérèse in the coming weeks.


7   Organization chart.

- Two examples of the BIA organization chart were presented to members, one with board members' names first and the other with committee names first.  Members chose the one with committee names first.

Other subjects.

- Relay for life: Estelle Mignault took the opportunity to remind members that candles were still available for the Relay for Life event.

- Moose Festival:  Estelle explained the game that will take place downtown during the Moose Festival, where participants will have to visit stores and draw dices to continue playing.  The game is like the game of snakes and ladders.   It was also decided not to close the street during this Festival.

- Flower Festival:  The Flower Festival will take place on Friday June 17th and there will be a contest during this day only.  Prizes will be awarded to winners.
