Meetings

This page will contain the minutes of the BIA's last executive committee meeting, along with the agenda of the upcoming meeting a few days prior to said meeting. Meetings are held every first Thursday of the month.

2006 Annual Meeting

The last BIA executive's monthly meeting was held on Thursday June 1st, 2006. Here were the subjects discussed:

1   Opening - Agenda.

- The meeting was declared open at 7:40 a.m. - Agenda.  Prop. by: S. Otis, Supp. by: S. Leroux;  CARRIED.


2   Report of the meeting held on April 6, 2006 and of the annual meeting held on May 4, 2006.

- Minutes from the meeting held on April 6, 2006 and of the annual meeting held on May 4, 2006.  Colette informed members that Northern Store will be renovated this year.  Prop.  by: S.  Otis, Supp. by: S.  Leroux.  CARRIED.


3   List of cheques issued between April 1st and May 31st, 2006 and current financial statements.

- The list of cheques issued between April 1st and May 31st, 2006 for a total amount of  $5,420.25, as well as current financial statements were presented for approval.  Prop. by: G. Gaudreau, Supp. by: S. Otis. CARRIED.


4   Repairs to kiosk - quotes.

- Thérèse presented a quote from Joanis Locksmith to replace the existing kiosk doors at the municipal parking.  Joanis Locksmith suggests to install two sided doors with a column in the middle, but members think that this would not be convenient for large posters.  Thérèse or Diane will therefore ask another quote, following members specifications, to Joanis Locksmith, Fern Girard Const.  and Hearst Glass specifying that the doors have to open in one piece and made of unbreakable glass or Plexiglas.


5   Promotion - request from A. Rhéaume.

- Members decided not to take any ad in the mega 2006 fishing tournament brochure.

2006 Summer Festival.

-  The 2006 Summer Festival will be held on July 13-14 and 15, 2006.  A special committee was formed by M.  Wilson, S.  Otis, P.  Marin-Carrier, G.  Gaudreau, B.  Rosevear, I. Boulanger and D.  Bernier to discuss activities that will be held during the festival.  Mike informed members that CINN-FM Radio will not organize the street dance this year.  Many suggestions were brought forward, such as ask L. Curtis if she would be willing to organize a dog show, Go Carts, a car show with D.  Blanchette, a bingo organized by T. Brunet, but we would have to provide a tent for protecting tables and players and we could use this tent for other activities.  Thérèse said that "La Vieille Branche" was interested in selling tickets during the festival, so we could ask them to organize an activity at the same time.  Other organizations could be approached, such as Old Age Club, Hearst firefighters, Knights of Columbus.  Mike said that Neil of the Bistro is interested in putting up a patio outside with music, but this is yet to be confirmed.  Thérèse or Diane will call members of the committee to inform them of the date of the meeting.

Correspondence.

- Festivals & Events Ontario - booklets: The 2006 booklets from Festivals & Events Ontario are now available for those interested.

- Direction Ontario - 2006 Tourist Guide: The 2006 Tourist Guide is now available.  Those who wish to obtain more copies can pick-up the order form at CommunicAction.

- Classic Displays - Artificial Flowers: Classic Displays has artificial flowers available for downtown arrangements.  Members think that this is not a good idea, as it was tried before and flowers did not last as long as advertised.  Brenda said that there were flowers specially resistant to UV Rays but that they were very expensive.

- CINN-FM - Thank You Letter & Photos:  A thank you letter was received from CINN-FM thanking us for the $500 donation for the Hearst Carnival 2006 along with photos of the ice sculpture winner. 

- Corporation of the Town of Hearst - Resolution 125-06 (Christmas decorations): A letter was  received from the Town of Hearst with a copy of resolution No. 125-06 to confirm that the municipality had accepted our request that the cost for installing and removing Christmas decorations be paid entirely by the municipality.

- Corporation of the Town of Hearst - Resolution 126-06 (Budget 2006): A letter was received from the Town of Hearst with a copy of resolution No. 126-06 to confirm that the 2006 BIA Budget had been approved as presented.

Other Subjects.

- Tree maintenance downtown: Only one tender was received for the maintenance of trees downtown, from Pelouse Cantin for the amount ot $975 + GST.  Maintenance includes pruning, watering and fertilizing.  Prop.  by: G.  Gaudreau, Supp. by: S.  Leroux.  CARRIED.

- Secretarial duties: Thérèse informed members that she did not wish to continue her secretarial work with the BIA and that maybe Diane, one of her employees, would like to take her place.  She asked other members first if they wanted to take the job, but everybody declined.  If members agree, Thérèse would still take care of the financial aspect of the BIA, but all other tasks would be performed by Diane, who is willing to try it until next September.  All members agree to this arrangement and this subject will be discussed again in September to see if Diane wishes to continue.
