Meetings

This page will contain the minutes of the BIA's last executive committee meeting, along with the agenda of the upcoming meeting a few days prior to said meeting. Meetings are held every first Thursday of the month.

2006 Annual Meeting

The last BIA executive's monthly meeting was held on Thursday October 5th, 2006. Here were the subjects discussed:

1   Opening - Agenda.

- The meeting was declared open at 7:41 a.m.  Agenda: - Prop. by: Isabelle B., Supp. by: Sylvie O.;  CARRIED.


2   Report of the meeting held on September 7th, 2006.

- Minutes from the meeting held on September 7th, 2006.  Prop.  by: Gérald G., Supp. by: Patricia M-C.  CARRIED.


3   List of cheques issued between September 1st to September 30th, 2006 and current financial statements.

- The list of cheques issued between September 1st and September 30th, 2006 for a total amount of  $2,428.47, as well as current financial statements were presented for approval.  Diane informed members that we had just received $7,500 from the Municipal Levy. Prop. by: Gérald G., Supp. by: Patricia M-C.. CARRIED.


4   Repairs to kiosk.

- Diane informed members that we had received a letter from the Municipality informing us that they had accepted our request to repair all the kiosk doors this year.  Diane followed-up with Jean-Claude of Hearst Glass and he confirmed that it should not be too long now for the repairs to be done.


5   Benches and garbage bins.

- Diane informed members that she asked R. Gagnon if they had some space to store our benches and garbage bins and he said no.  Diane then called Entrepôts Denmarc to reserve a warehouse at the cost of $840.00.

2006 Summer Festival.

- Many dates for the next Summer Festival have been suggested.  Some members do not agree to hold the festival in June, because at that time of year, the new stuff just came out in stores and they are not willing to offer them at reduced price.  Also, to do a return to school sale at the end of June when the school year is not even over is not a good idea.  One member suggested to hold the festival at the same time as the Hog activities.  Members think that it's a very good idea as the Hog is very popular and this would bring more people downtown.  Brenda will inquire about the dates of the next Hog.

Halloween.

- Mike informed members that Marcel Dillon and the Hearst Fire Department will provide security during Halloween again this year.  One week prior to Halloween, an ad will be placed in the local newspaper to inform people on the hours there will be security.  One member asked if someone knew of a good place where to buy Halloween candies at a cheaper price, if there were discounts somewhere, etc.  The idea of buying bulk for all merchants was suggested, some think that this idea could work, but others think that it was not a good idea as children would have the same candies everywhere and it would not be fun for them.  Therefore, each business will be responsible to buy their own candies.

Correspondence.

- Chamber of Commerce - Christmas Tree Sponsoring - It was decided not to sponsor a tree this year.  The BIA installs its own decorations downtown.

- Guide 2007 - "L'Ontario en français!" -  It was decided to wait until the dates of the next festival were known before putting an ad in the guide.  Brenda will keep us informed.

- Dan Music Man Entertainer - Info.

- Downtown Idea Exchange - Info.

- Flags Unlimited - price list - Info.

Other Subjects

- We have received an invoice from CINN-FM in the amount of $60.00 to sponsor a Bingo Ball.  Members approved this expense that will be reported to 2007.

- Gérald informed members that we were one fall banner short.  Diane checked with two companies to have prices for 15 banners that would say Welcome - Bienvenue.  One of the companies submitted a price of $1,829.00 and the other $2,354.00.  Members found it too costly to replace banners.  Diane will check with other companies offering banners at reduced price.

- Diane informed members that Mr. Joanis requested authorization from the Municipality before installing the ashtray on the meter in front of Le Bistro.  Mr. Guilbault told him he was not authorized to install an ashtray on a parking meter and that he will inform Neil about this.  Neil then contacted Mr. Joanis to tell him that he will take care of the ashtray himself.

- Diane informed members that she had called Mr. Gagnon to have the streets cleaned of cigarette butts and he said he would take care of it.

- Diane informed members that there will be an expense of $126.14 more on the Summer Festival report.  This amount was from Le Nord for a thank you letter that we could not print in the "lettres à l'éditeur" section, so we had to print it somewhere else on the newspaper.  This expense was approved by Mike.

- Diane sent a report for the Summer Festival to Monique at the Municipality in order to justify our request for a donation of $500.00.  We are still waiting for a response.

- Gérald asked members for help, on Sunday October 22, around Noon, at the airport hangar to repair Christmas decorations.  Some members will go.

- Gérald said that benches will probably be removed before Halloween, because if we wait there's a chance we can no longer remove them because of the cold.  Members think that benches should stay there until Halloween.

- Patricia M-C and Sylvie O. will form a team for the Santa's Express this year.  Sylvie L. said that her husband was willing to do Santa.  We still have not received confirmation from Ontario Northland yet if there will be a Santa's Express this year or not.

- Midnight magic will be held again this year, as it is very popular.

- Daniel S. informed members of various interesting things about the economy, the closing of sawmills, industry in crisis, etc.   He said that he would like to do a presentation at the next meeting and will ask Jocelyn Blais to assist.
