Meetings

This page will contain the minutes of the BIA's last executive committee meeting, along with the agenda of the upcoming meeting a few days prior to said meeting. Meetings are held every first Thursday of the month.

2006 Annual Meeting

The last BIA executive's monthly meeting was held on Thursday November 2nd, 2006. Here were the subjects discussed:

1   Opening - Agenda.

2   Report of the meeting held on October 5th, 2006.

- Minutes from the meeting held on October 5th, 2006.  Prop.  by: Gérald G., Supp. by: Patricia M-C.  CARRIED.


3   List of cheques issued between October 1st to October 31st, 2006 and current financial statements.

- The list of cheques issued between October 1st and October 31st, 2006 for a total amount of  $1,614.76, as well as current financial statements were presented for approval.  Prop. by: Sylvie L., Supp. by: Sylvie O.. CARRIED.


4   Repairs to kiosk.

- Diane informed members that Vitrerie de Hearst has begun changing the kiosk doors and that the work will be finished today.  Mike reiterated, at the same time, that only posters from Hearst and area can be posted in the kiosk.


5   Banners downtown.

- After receiving prices from two different companies for banners, it was decided to buy our next banners from Flags Unlimited that submitted a price of $752.23 + shipping, as they have the lowest prices (Flying Colours, $2,054.22).  We will order them when the time comes.  Gérald says that it would be nice to have a moose printed on the next banners.

Advertising - Centre Cartier.

- Request from André Rhéaume.  An ad that the BIA would do on Power Point that would be showed before a show at Centre Cartier.  The 10 seconds ad would be showed a total of 120 times during the contract.  Some find the idea appealing, but for now, this item will be placed in Work in Progress.

Santa Claus Express.

- The BIA is responsible for the Santa Claus Express this year.  Santa Claus Express will be on December 3.  Diane, Patricia and Sylvie O. will meet next week to discuss preparations.  Diane has already begun making calls and has sent letters requesting donations (CIBC, Rotary, Scotia, Valu Mart (water) and IGA (water)).  Diane asked members if it would be a good idea to send a request for donation to Hearst and Mattice Caisse Populaire.  Members think that with the donation of $1,000 from CIBC, we should have enough to cover the costs and that we don't have to ask for more donations.  Coloring books will be given to children boarding the train.

Christmas Calendar 2006.

- Members have scheduled opening hours for December.  Midnight Magic will be on December 1st, Santa Claus Express on December 3rd and Santa Claus will be at the Public Library on December 17th.  There will also be a draw of $500 on December 17th.

Correspondence

- Downtown Woodstock: Coffee Culture: Members found this interesting.
- Town of Hearst:   A letter was received from the Town of Hearst confirming a donation of $200 to help pay for expenses during the 2006 Summer Festival


10 Other subjects

- Gérald informed members that benches and garbage bins have been removed on October 30th.

 -  Colette Fortin has verbally resigned from the BIA.  Members decided to send her a thank you letter for all the years she was part of the BIA Executive.

 -  Registration for the 2007 Guide from «L’Ontario en Français» has been sent.

 -  Survey: Diane will ask Mr. Gaëtan Longval if his students in marketing could do it.

 -  A big thank you to those who helped Gérald repair Christmas decorations on October 22nd.

 - Daniel informed members that the touristic project will be presented to the public soon.  The amount of $650,000 will be available for this project and he says that money might be available for new downtown street lights.  Shana Verrier is presently in Michigan to promote snowmobiling.  There should be a meeting soon to discuss the setting up of a portal web site where every service in town would be represented.  For example, it could contain links to every service and business in Hearst.
